Meet Coach, Dayplan's AI planning assistant

Coach is Dayplan's AI planning assistant, part of Dayplan Pro. Select Coach in the sidebar and ask in plain words. It can add, find, move, complete and break down tasks, find free time, set reminders and walk you through shutdown. Say "undo that" to reverse its last change.

Coach is a chat inside Dayplan that works on your plan for you. You say what you need in your own words ("move everything left today to tomorrow except the dentist call") and Coach makes the change, then tells you exactly what moved and where. It's built to make starting easier, not to fill your day.

Coach is part of Dayplan Pro. See Dayplan plans.

What Coach can do

  • Capture tasks. Add one or several tasks at once, with a day, a time, an estimate, a deadline, an area (a category for your work), a priority or a repeat. A task without a day goes to your Inbox, where new tasks wait until you plan them.
  • Find tasks. Search open, done and let-go tasks by title, notes or steps, even with small typos.
  • Change and move tasks. Edit a task, give it a time on the calendar, or move many tasks in one go: to another day, to the Inbox or to the Backlog (work you've set aside for later).
  • Complete, skip, let go or delete. Mark tasks done, skip one occurrence of a repeating task, let a task go to the archive (optionally bringing it back on a set day), or move it to Trash, where you can restore it.
  • Break a task down. Turn a big or stuck task into a short list of concrete steps inside the task.
  • Find time. Look at your tasks and synced calendar events and suggest open windows, for one day or up to a week ahead.
  • Set reminders. Send you a one-off message at a time you choose, in the app or by text.
  • Help you plan and shut down. Suggest what to focus on, say when a day is overloaded, and walk you through an end-of-day review.

For examples of what to ask, see Things to ask Coach.

What Coach can't do

  • Edit calendar events. Coach can see your calendar events but can't move, change or create them. It can plan your tasks around them.
  • Create areas. Coach files tasks into areas you already have. If you name one that doesn't exist, it tells you.
  • Remember things long term. Coach works from your current conversation, your plan and your Coach settings. It doesn't keep a separate memory of facts about you.
  • Repeat a reminder. Reminders are one-off. For something every day, Coach creates a repeating task instead and tells you.
  • Help outside planning. Coach declines things like writing code or essays, homework, trivia and translation.

Open Coach

  1. Select Coach in the sidebar. You can also select the Dayplan logo button labelled Open Dayplan Coach; on a narrow window it floats in the bottom-right corner. The Coach panel opens.
  2. Type in Ask your coach anything… and press Enter. When the chat is empty, you can also pick a suggestion such as Plan my day around my calendar.
  3. To speak instead, select the microphone (Speak to your coach). When you finish, your words are sent as a message.
  4. To turn a photo of notes or a paper agenda into tasks, select + (Add files or photos). You review what was found in Scan notes into your plan before anything is added.
  5. Select Hide chat to close the panel.

On the Free plan, the panel explains that Coach is part of Dayplan Pro.

How Coach handles big changes

When your request is clear, Coach acts and then tells you what it did. It asks first, in one line that lists exactly what would change, before it:

  • Deletes or lets go of a task you didn't name.
  • Changes three or more tasks you didn't list, unless you said "all", "everything" or "the rest".
  • Completes, lets go of or deletes every occurrence of a repeating task.
  • Acts on a guess when two tasks match equally well.

When you ask it to decide for you ("too much today, sort it out"), Coach proposes what to keep and what to move, and waits for your yes. You can also add your own rule under How to talk to you (see below), for example "ask before rescheduling".

Undo a change Coach made

Say "undo that" or "put it back". Coach reverses the changes from its most recent reply, such as a move and the reminder that came with it, and tells you what it restored and anything it couldn't.

Set check-ins and personality

Open Settings → Coach. The same controls are in the Coach panel header: the sparkles button (Coach personality) and the bell (Check-in settings).

Check-ins

Check-ins are messages Coach sends without you asking first. Choose where they go:

  • Text me: over iMessage once you've connected a number, and in the app until then. See Text Coach on iMessage.
  • In the app: they wait for you in the Coach chat.
  • Off: Coach only speaks when you speak to it first.

Then turn each one on or off and pick its time:

Check-in

What it covers

Starts as

Morning kickoff

The shape of your day and where to start

On, 8:00 AM

Midday check-in

How the plan is holding up, and a nudge if it isn't

Off, 1:00 PM

Evening shutdown

Wins, leftovers, and a look at tomorrow

On, 9:00 PM

Check-ins can read your plan but never change it. You can also tell Coach "text me at 8 instead". Times follow the time zone in Settings → General.

Personality and how Coach talks to you

Under Personality, pick one: Balanced (the default), Supportive, Tough love or Hype. Under In its own words:

  • What it calls you: leave it empty to use your account name.
  • How to talk to you: a note in your words, such as "skip the pleasantries".

Under Journal, Rephrase shutdown reflections decides whether Coach saves your end-of-day reflection as a summary or in your own wording.

Frequently asked questions

Is Coach free?

No. Coach, voice input and photo scan are part of Dayplan Pro, and each Coach reply uses one AI action. See How AI actions work and Dayplan plans.

Why haven't I received a check-in?

You'll notice that check-ins don't start the moment you sign up. That's because they go only to people who have chatted with Coach before. They also pause if you haven't used Dayplan or Coach for 7 days, if you're mid-chat with Coach, if you can't use Coach right now (not on Pro, or out of AI actions), and, for In the app check-ins, if you haven't opened Dayplan in the last 3 days.

Why did my check-ins stop?

Coach eases off when you're not replying. If 5 check-ins in a row go unanswered, that check-in switches to every other day. After 10, Coach turns it off and sends one message saying how to turn it back on. Turn it on again in Settings → Coach.

Can Coach move my Google Calendar events?

No. Coach sees your synced events so it can plan your tasks around them, but it only changes Dayplan tasks.

Where does my data go when I use Coach?

See Coach, AI and your data.
